As an accounting professional, choosing the right software for your business is crucial.

QuickBooks, developed by Intuit, is a popular choice for managing financial transactions. However, you may find yourself torn between two versions: QuickBooks Online and QuickBooks Desktop.

Let’s explore the advantages and disadvantages of each, and hopefully help you make the best decision for your business!

Let's Start with the Good Stuff

Advantages of QuickBooks Online:

  1. Accessibility and Collaboration: QuickBooks Online provides the flexibility of accessing your accounting data from anywhere with an internet connection. It allows multiple users to work simultaneously on the same file, promoting collaboration among team members, accountants, and clients. This feature is especially beneficial for remote work environments and businesses with distributed teams.

  2. Automatic Updates and Backups: With QuickBooks Online, you don’t need to worry about installing software updates manually. The platform is cloud-based, meaning updates occur automatically, ensuring you always have access to the latest features and improvements. Additionally, your data is securely backed up on Intuit’s servers, reducing the risk of data loss due to hardware failures or accidents.

  3. Integration and Scalability: QuickBooks Online seamlessly integrates with numerous third-party applications, such as payment gateways, project management tools, and e-commerce platforms. This integration enables you to streamline processes, save time, and enhance productivity. Furthermore, QuickBooks Online offers scalable pricing plans, allowing you to adjust the features and capacity according to your business’s growth.

  4. Real-Time Collaboration with Accountants: QuickBooks Online simplifies communication and collaboration with your accountant. You can grant your accountant access to your books, making it easier for them to review, analyze, and provide real-time advice on your financials. This collaborative approach ensures accurate and up-to-date accounting information for making informed business decisions.

Advantages of QuickBooks Desktop:

  1. Advanced Functionality and Customization: QuickBooks Desktop offers a comprehensive set of features and advanced accounting tools suitable for businesses with complex accounting requirements. It provides robust inventory tracking, industry-specific editions, and advanced reporting capabilities that cater to specific business needs. Customization options are also more extensive, allowing you to tailor the software to fit your unique workflows.

  2. No Internet Dependency: Unlike QuickBooks Online, QuickBooks Desktop operates locally on your computer. This independence from an internet connection ensures uninterrupted access to your accounting data, even in areas with poor or no internet connectivity. It can be advantageous for businesses operating in remote locations or facing frequent internet disruptions.

  3. Data Control and Security: With QuickBooks Desktop, you have complete control over your accounting data. It is stored locally on your computer or server, reducing concerns about data breaches or unauthorized access. This level of control can be especially important for businesses handling sensitive financial information.

But wait, you have to know the drawbacks right?

Disadvantages of QuickBooks Online:

  1. Internet Dependency: As a cloud-based software, QuickBooks Online requires a stable internet connection to function effectively. In areas with poor connectivity or during internet outages, you may experience difficulties accessing and working with your accounting data. This reliance on internet connectivity can be a potential drawback for businesses operating in remote locations or with limited internet access.

  2. Limited Functionality and Customization: Compared to its Desktop counterpart, QuickBooks Online offers a slightly more limited range of features and customization options. Some advanced accounting functions, such as batch invoicing and complex inventory tracking, may not be as robust in the Online version. This could be a disadvantage for businesses with specific or complex accounting needs.

Disadvantages of QuickBooks Desktop:

  1. Limited Remote Access and Collaboration: QuickBooks Desktop lacks the inherent cloud-based accessibility and real-time collaboration features found in QuickBooks Online. Sharing files with team members or accountants

So, which do I suggest for you?

Here is my suggestion, depending on a company size:

Small Companies:

Those with limited accounting needs and a focus on accessibility and collaboration, QuickBooks Online is often a good choice. It offers the flexibility of accessing data from anywhere, easy collaboration with team members and accountants, and scalable pricing plans that can accommodate growth.

Medium Companies:

Medium-sized companies may benefit from the features and customization options provided by QuickBooks Desktop. These businesses often have more complex accounting requirements and may require advanced inventory tracking, industry-specific editions, and robust reporting capabilities. If remote access is not a top priority and the business has the IT infrastructure to support it, QuickBooks Desktop can be a suitable choice.

Large Companies:

Large companies, with their extensive accounting needs and potentially multiple locations or departments, often require a more robust solution. In such cases, QuickBooks Desktop Enterprise, the most advanced version of QuickBooks Desktop, may be a suitable option. It offers advanced features, scalability, and greater control over data and security. Large companies may have the necessary IT infrastructure and resources to manage a locally installed system.

Remember these recommendations are general guidelines, and the specific requirements of each business should be carefully considered.

POV: You stop seeing networking as optional… and start seeing it as an investment — and somehow end up with a whole village. 💕

Huge love to @christamccourt for building @kingwoodbusinesswomen into such an incredible community of women, and to @grandeventshtx for hosting and giving us the cutest photo op to capture it all.

Let’s be honest, entrepreneurship can feel heavy. The responsibility. The decisions. The constant mental checklist running in the background.

And you can try to carry it all alone…
Or you can surround yourself with women who get it.

No competition.
No drama.
Just genuine connection, real support, referrals, encouragement, and friendships that actually mean something.

Networking isn’t about collecting business cards.
It’s about building relationships with the people who become your sounding board, your cheerleaders, and your safe place to land when business feels overwhelming.

These women are my village…and I don’t take this community for granted. 💗

For a long time, I believed ‘enough’ was something I was supposed to become. Chasing expectations that weren’t mine and measuring myself against comparisons that never really fit. Trying to do all the things for everything. Looking back at this version of me in 2022, I see someone who wasn’t (and isn’t) perfect, but kept building anyway.

Nearly five years later, and despite not meeting everyone’s expectations, I’m proud of her.

If there’s a lesson here for others trying to be ‘enough’, it’s this: You don’t have to do it all perfectly to be doing something meaningful. Building a life, a family, and a career at the same time will never look tidy…and that doesn’t mean you’re failing.

Oh and TAX TIME IS HERE 🧾✨ Call me 📞☎️

Quick tax update 🚗💸
The IRS raised the standard mileage rate for business use to 72.5 cents per mile for 2026, up from 70 cents last year.
Medical and moving mileage drops slightly to 20.5 cents, and charitable mileage stays put at 14 cents.
These rates kick in January 1, 2026 and apply to gas, diesel, hybrid, and electric vehicles.
Moral of the story? If you drive for business, track your mileage—because it adds up fast.

Every business has its own definition of “healthy profit,” but there are benchmarks that help you see if your pricing + expenses are actually working:

Service Businesses:
• 30–60% = strong
• Under 20% = undercharging or overspending

Product Businesses:
• 20–40% = solid
• Under 10% = cash flow danger zone

Digital Businesses:
• 50%+ = ideal
• Low margins = too many hidden costs eating your profit

Good margins help you grow, save, hire, and pay yourself consistently.
Bad margins? They keep you stuck and stressed.

If you want to understand how your margins stack up — and what they should look like for your industry — I’m here to break it all down for you.
